How to submit a deletion request

1. Email us from the address registered to your Hampshire Cosplay account.
2. Use the subject line Hampshire Cosplay Account Deletion.
3. Include your full name and registered email address.
4. State clearly that you want your account and associated personal information deleted.

Identity verification

To protect members from fraudulent deletion requests, we may ask you to confirm information connected to the account. Do not send your password.

Information normally deleted

Following verification and approval, we will normally delete or anonymise:

• account sign-in credentials;
• contact and profile information;
• profile photographs and biography information;
• active app sessions and push-notification identifiers;
• optional information that is no longer required;
• other personal information associated solely with the account.

Information that may be retained

Limited information may be retained where reasonably necessary for:

• safeguarding and welfare records;
• legal claims or regulatory obligations;
• fraud, abuse and security prevention;
• financial or charity-administration records;
• event attendance history where organisationally necessary;
• preserving the integrity of group-message conversations.

Where retention is necessary, we will limit the information retained and restrict its use to the relevant purpose. Identifying information may be anonymised where appropriate.

Messages and shared content

Messages already sent to group conversations may remain visible where removal would disrupt or misrepresent the conversation. Where appropriate, the account identity associated with those messages may be removed or anonymised.

What happens next

We will acknowledge the request and may contact you to verify your identity. Once completed, you will no longer be able to sign in using the deleted account.

Deleting the app from your phone does not itself delete your account.
